Bridging the gap between data and decision makers

Data storytelling is viewed as one of the most valuable skills for data and AI professionals. However, many experts face a common challenge – they excel at working with data but struggle to communicate their findings effectively to non-technical stakeholders. This disconnect can lead to misunderstanding, frustration, and missed opportunities.

So, how can analysts and data professionals ensure that their insights resonate with their audience? The answer lies in understanding your audience and tailoring the story to meet their unique needs.

The pitfall of overloading data

Data and AI professionals are trained to focus on rigour – using charts, graphs, and statistics to back up their claims. These methods are crucial for making sound, evidence-based decisions.

Yet this approach can backfire when communicating with stakeholders who may not be as immersed in the technical aspects. A chart that seems intuitive to a data scientist may not always resonate with a decision-maker, especially when time is limited. Providing too much technical detail can sometimes make it harder for stakeholders to quickly grasp the key insights they need.

When presenting complex information, the goal should not be to display every piece of data. Instead, data visualisations should be clear and intuitive. As a rule of thumb, if a chart can’t be understood quickly, it’s likely too complex for the audience. This principle ensures that even the most data-driven individuals convey insights that are actionable and digestible.

Understanding the audience’s needs

One of the most challenging aspects of data storytelling is that stakeholders may not always know what they need. Even if they do, they may struggle to articulate it. This creates a significant barrier between the data professional and the audience. To overcome this, it’s essential to learn how stakeholders think, what they value, and how they communicate.

It’s important that data professionals should spend time getting to know their audience:

  • What are their KPIs?
  • What metaphors or analogies do they use?
  • What communication styles resonate with them?

By understanding the stakeholder’s context, it’s easier to tailor the message in a way that bridges the gap between data and decision-making.

Less is more: Simplifying the message

Stakeholders are often juggling multiple priorities, and your message must cut through the noise. One way to do this is to take a page from the playbook of effective newspapers. The main point should always be presented upfront, followed by supporting details. This structure ensures that even if your audience tunes out halfway through the presentation, they’ve already grasped the most critical insight.

This “less is more” approach also applies to data visualisations. When designing a report or a presentation, aim for simplicity. Use large, clear fonts with single, impactful points. Avoid bombarding your audience with complex details, as too much technical depth may appear as an attempt to confuse, leading to mistrust. Instead, present the key takeaway first and provide the option to dive deeper into the data for those who want it.

A real-world energy sector example

A great example of data storytelling in action comes from the energy sector. InterGen’s trading team was being supported by a data science team who provided complex models to help them make daily trading decisions. Initially, these models were accompanied by a wealth of supporting statistics – confidence intervals, forecasts and underlying analyses. However, the traders found this difficult to integrate into their workflows. As a result, the uptake of the new system was low.

The solution was surprisingly simple. Hypercube worked with the Trading, Commercial and Finance teams at InterGen to identify the most impactful use cases that will drive value for the business and simplify processes. This included standardising re-useable data and reducing duplication of effort for traders and analysts by managing data in a centralised framework. The ability to drill down into deeper data was still available, but only if needed. This shift led to a significant increase in the usage of the system, demonstrating that simplicity can lead to better outcomes.

Ensuring data accuracy

Finally, data accuracy is vital in any storytelling exercise. Nothing undermines trust faster than presenting data that contains errors or inaccuracies. A single mistake – for example, a data source inaccuracy – can derail an entire conversation. Stakeholders may focus on the error instead of the larger, more important point. This is why it’s essential to validate data rigorously before presenting it.

Ultimately, data storytelling is about building trust. If stakeholders can rely on the accuracy and clarity of the information being presented, they’re more likely to embrace data-driven decisions.

Craft a compelling data story

The power of data storytelling lies in its ability to translate complex insights into a clear, compelling narrative. By understanding the needs of the audience, simplifying the message, and ensuring data accuracy, data professionals can bridge the gap between analysis and action. The result? Better decision-making, stronger stakeholder engagement, and a more effective use of data across the board.
